What to put in an accommodation access enquiry

Send a clear, practical enquiry that ties the exact room or apartment to your access requirements and written confirmation.

Accessible holiday planning and mobility equipment

A focused enquiry is easier for a hotel or host to answer than “Is it wheelchair accessible?” Describe the tasks and measurements that matter, and ask for a response about the exact accommodation.

Include the essentials

Give the dates, property name and room or apartment being considered. Explain whether you use a wheelchair indoors, a scooter outdoors or both. Include the equipment dimensions needed to assess the route. You do not need to send a full medical history to establish doorway widths or bathroom layout.

Adapt this message

We are considering [dates] in [exact room or apartment]. Before booking, please confirm the following for that unit.

Our equipment is [width, length and relevant turning needs]. Please send the clear entrance and lift-door widths, lift dimensions, and a video from the vehicle drop-off to the room.

We need [bed approach and bathroom requirements]. Please provide photographs showing the bed space, shower entrance, toilet position and any fixed screens or steps.

Please confirm how we collect the key, where equipment can be stored and charged, and whether our hired equipment can be delivered to the room. If any requirement cannot be met, please tell us before we book.

Turn the reply into a decision

Check that every essential question has an answer. “We welcome wheelchair users” is friendly but does not answer a measurement request. If a photograph is unclear, ask which part it shows. Make sure the room can be reserved as that exact category and ask what happens if it becomes unavailable.

Keep the confirmation with the booking

Retain the dated reply, photographs and reservation details together. Reconfirm if the room category changes or your equipment requirements change.
